We, the Japanese Organizers will send you three documents including (1) 招聘理由书, (2) 停留日程表, and (3) 在职证明书. Normally you are supposed to arrive Japan on 28th of October and leave on 1st of November only to attend the symposium, and in that case you need only the three documents. However if you stay Japan longer than the period (for example, if you arrive on 27th of October or earlier, or leave on 2nd of November or later), we also need 身元保证书, the guarantee letter. Noted that this is a special case: Normally we send you only three documents (1) 招聘理由书, (2) 停留日程表, and (3) 在职证明书.
For filling the (1)招聘理由书 and (2)停留日程表, detailed information are needed
(it says, as detailed as possible. In sample form, hotel and flight information are also included).
Following these instruction, we would like to ask you to give us information as below. Also please send us the copy of your passport. In our experience, some consulates have their own rules and ask additional documents. In that case we will prepare extra documents for you. So, please apply for your visa as early as possible! For the invited speakers, please check here. For the other participants including students, if you do not contact us to stay the hotel we offer before 6th of September, please book your hotel by yourself, and give us the hotel information.

For sending documents, we will use business mail, which is a bit expensive but safe. If it is possible, we would like to send some documents together at the same time to all participants from the same university or institute.
